Position: Part-Time Administrative Assistant (a.k.a. Our Next Admin Super Person)

We’re currently looking for a Part-Time Administrative Assistant to join us. This is a remote-friendly-live-in-Vancouver role with flexible hours (2–10 hours/week on average), perfect for someone who’s detail-oriented, tech-savvy, kind, and deeply values community.

West Side Music Together is a vibrant and respected early childhood music program that’s been bringing the joy of music-making to families across Vancouver for over 20 years. Our mission is to nurture musical development in young children through playful, interactive classes — and we couldn’t do it without our amazing team behind the scenes.


What You’ll Be Doing

You’ll be the right hand to our Centre Director — a true Admin Super Person helping keep things running smoothly and joyfully. Your responsibilities will include:

  • Supporting the day-to-day operations of our busy music centre
  • Communicating with families, city programmers, and teaching staff
  • Following up with families after preview classes
  • Managing delivery, organization, and distribution of Music Together® curriculum (songbooks etc)
  • Entering data and updating our website and database each term
  • Connecting with families who are new to our program or reaching out with questions — if you love chatting with people and helping them feel at ease, you’ll thrive in this role.
  • Being available mornings between 7:00–8:30am in case a teacher calls in sick — great for someone who naturally starts their day early
  • Working from home on your schedule (we love Zoom co-working too!)

What You Bring

  • A warm, confident, and compassionate personality
  • A love of music and appreciation for early childhood development
  • Strong written communication and interpersonal skills
  • Tech confidence and creative thinking — you're someone who enjoys finding solutions
  • High proficiency with Google Docs, Microsoft Office, Excel, and using online databases
  • Excellent time management, organization, and follow-through
  • Comfortable working independently from a home office
  • Access to a car and space for storing program materials
  • Previous administrative experience required

Compensation

  • Training rate: $22/hour
  • Starting wage: $25/hour
  • Wage review and increase after successful first 3-months
